The cost of business automation depends entirely on the scope of the problem you are trying to solve. There is no flat rate because a local clinic needs a very different infrastructure than a national e-commerce brand.
Generally, implementing automation involves two sets of costs: the build cost (what you pay an agency or developer to set it up) and the software costs (your monthly subscriptions for tools like Make, Zapier, GoHighLevel, or HubSpot).
Our published ranges:
- Foundation — foundational automation ($2,000 – $5,000): This covers the basics. Connecting your website forms to a CRM, setting up a calendar booking system, and building a simple 3-step email follow-up sequence.
- Growth — advanced systems ($5,000 – $15,000): This includes custom AI chat agents trained on your business data, complex sales pipeline routing, automated invoicing, and deep integration with your existing ERP or operational software.
- Scale — full revenue system ($15,000+): Everything above plus paid acquisition, review generation, loyalty and win-back — the whole pipeline from first click to repeat customer.
- Monthly software costs: Expect to spend anywhere from $50 to $500+ per month on the actual tools that power your infrastructure, billed by those vendors and completely separate from the setup fee.
When budgeting for automation, it helps to look at the return on investment. If a $5,000 system saves your team 20 hours a week in manual admin work and recovers three lost deals a month, the setup pays for itself very quickly.
